Sales Orders View

The sales orders view displays sales information for all orders on the system including information on our print charges. Double clicking any one entry will bring up the full details of the order (see Order Properties). At the bottom of the table you will find totals for each column along with averages per print and per order. For information on reports that can be generated from this view see the Reports page.

Note that the Sales Order view was originally designed for the generation of reports for the explicit purpose of creating invoices. As such the Income column (client income) is really designed to show how to invoice and Normal Sales and CRP sales are handled differently for this purpose. Normal sales, where we have taken payment, require an invoice from the client for the money due to them, CRP sales on the other hand, where the client has taken payment, require an invoice from us to the client for the printing charges. Consequently normal sales will show as a positive figure and CRP sales as a negative figure in this column. In the reports this is not a problem as the two types of sales are automatically separated out into two different parts of the report, but when viewing, it can be a little confusing. The best solution is to view the two types of sales separately, which is easily down by setting the sort column to the Transaction ID (click the column header ID) then select all the sales beginning with C and filter for them only (see Selection Only in the filters table below). Then the process can be repeated for all transaction beginning with anything other than C.

Columns

Header Description
Reference The order reference number. Can be displayed encoded or decoded (see Orders - View Encoded Refs).
Event The event name
ID

Unique transaction ID. Note the first character of the ID indicates the type of transaction:

  • W - the order was created by the customer online
  • P - the order was received by us by post
  • V - the order was paid by credit card - typically by telephone - note we do not encourage this service but will allow it on occasion.
  • C - CRP - you the client took the payment as opposed to us.
Date Date the order was created.
Name Customer's name.
RO 'Y' indicates the order is a 'reorder' (eg. a catalogue reorder)
O The number of parts to the order - 1 for a simple order, greater than 1 for multi-orders.
Prints Total number of prints ordered. In this context a 'print' is a single product, so a pack containing one 10x8, two 8x6, one four wallets and one MMS would be recorded as 5 prints.
Comm'n % The commission percentage to be paid to the event host. This is really only relevant if Parker Franklin are handling payment of the commission to the event hosts, however if you have us set a commission value into the event without having us paying the commission, that is fine and you can then use the reports from SID to calculate your event commissions.
Total Total charge to the customer, including VAT.
VAT The VAT - if you are using our NVAS then this should always be zero.
Net Customer charge excluding VAT
Adjust Adjusted net price. On occasion we receive postal orders where the customer has sent too little money. If the money is only a little short we will typically put in an adjustment so the total matches what they have paid but the adjusted total is what should have been paid (ex VAT). This adjusted figure is what we calculate your commission on. In other words if we choose to accept a low payment we take the hit and not you! Most of the time this figure will be exactly the same as the Net figure.
SF Sales Report Flag, 'R' indicates it has been reported. This is really an internal flag used by us to indicate that the order has been reported to for our accounts. We may remove this column later.
Comm'n The event host commission, calculated on the net price. See Comm'n above for comments on the relevance of this to you.
CF Commission reported flag, 'R' indicates it has been reported. This is only relevant if Parker Franklin are handling payment of the commission to the event hosts, if not then it will always show as reported.
Income Your income for this order. Note this is your income from our perspective. So if you have received the payment (CRP) this will appear as a negative value - our printing charges to you. The negative value is shown using the common accounting practice of enclosing it in brackets - (123.45).
CLF Client reported flag, 'R' indicates it has been reported. This indicates the order has been reported to you in your monthly client sales reports. If you apply the Unreported Only filter then you will only see the sales that have yet to be reported to you in your monthly sales reports (see Filters below).
Charge Our printing charge for each order.

Filters

Filter Description
By Event Displays only orders for that event and changes the nature of the CSV report generated from this view. Sets the Active Event (see below).
Only Unreported Only displays those items that have not yet been reported. When not viewing a single event this refers to the monthly sales report sent to you. When viewing By Event (see above) this refers to the event host's commission report and is only relevant if Parker Franklin are handling paying of the event host commission directly. If not, then all orders will have the event commission report flagged as done automatically.
Unreported Events This is not relevant when viewing orders for only one event (see above By Event). Only orders for events that have not had a commission report generated will be displayed. This is only relevant if Parker Franklin are handling paying of the event host commission directly. If not, then all events will automatically be flagged as reported.
Date Range Only orders within the specified data range will be displayed. This date range can be set to All (default), Today, This Week, This Month or a specified date range (the start and end dates are inclusive. The date range can be set from the View - Filters sub menu or simply by clicking in the date box in the right hand panel of the program window.
Selection Only Displays only those items that were selected when the filter was activated. The table will be displayed in green as a reminder that you are viewing a restricted set of data. This filter is particularly useful as any reports generated will only contain those items that have been selected.
Active Event The current active event is shown in a box in the right hand panel of the program window and also in a box on the status bar at the bottom of the program window. It is automatically set whenever an event is clicked in the Event view or by clicking in the event box in the right hand panel. Only orders for the current active event will be displayed but only when filtering By Event (see above)
